Marketing Assistant

Position Description

The Marketing Assistant is a part-time position (approx. 25 hours per week) that reports to the Vice President, Marketing & Communications, and helps a busy four-person marketing and communications department stay organized and up-to-date on ongoing projects. While this position is primarily an administrative position, marketing knowledge/experience would give an applicant an advantage.

Personal Characteristics

The Marketing Assistant is a mature, organized and detail-oriented professional. He/she works well in a team environment but is also a self-starter. The best candidate for the position is resourceful and a quick learner, and excels at meeting deadlines. While some of the work is spontaneous, much of this role is ongoing or cyclical in nature. The best candidate for this position is proactive and will also look for ways to streamline these projects when possible.

Key Responsibilities

  • Maintain contact/email lists

  • Track and reorder print collateral

  • Assist with meeting preparation (creating and printing agendas, minutes and handouts, handling refreshments and room setup, etc.)

  • Monitor and track online news clippings

  • Liaise and coordinate with vendors

  • Track project deadlines

  • Track department budget/invoices

  • Assist with various marketing and communications projects (ex. Website and social media updates) as assigned

Education and Experience

  • At least 3-5 years of administrative experience

  • Agency or creative/marketing department experience preferred, but not required

  • Excellent interpersonal skills

  • Excellent written and verbal communication (great grammar a must!)

  • Self-motivation and ability to shift gears quickly and keep projects moving

  • Strong Microsoft Office proficiency

  • Ability to quickly learn and adapt to new programs as needed

  • Experience coordinating with outside vendors, particularly printers and advertising outlets

  • Website CMS experience and Constant Contact preferred but not necessary (no coding experience required)

  • Able to lift up to 20 pounds; ability to stand, kneel, crouch, bend and reach when needed
